The seven levers that move response rates
- Subject line. Specific beats clever. "How was your service appointment yesterday?" outperforms "Quick favor?".
- Sender identity. A real person's name from a real address beats noreply@. A property manager's name beats "Customer Experience Team".
- Timing. Send within 24 hours of the event. Tuesday-Thursday between 9am-11am local outperforms most other windows. Avoid Mondays and weekend evenings.
- Length. Five questions or fewer. One primary question plus 2-3 follow-ups is the sweet spot.
- Channel. SMS for short transactional sends; email for relationship and exit surveys.
- Reminders. A single reminder 3 days later typically lifts response rate by 20-30%. Two reminders is the ceiling; more becomes spam.
