The four stages
Capture
Every survey response is logged with the score, the customer identity, the account, the timestamp, and any open-text feedback. Low-score responses (NPS detractors, CSAT dissatisfied, CES difficult) are flagged automatically.
Triage
A ticket is created and assigned to the right owner. Triage should happen within hours, not days. The owner is the person who can actually fix the underlying problem, not a CX coordinator who has to forward it.
Resolve
The owner makes contact with the customer within 24 hours, investigates the issue, proposes a fix, and tracks it through to closure. Resolution status, notes, and timeline are logged against the ticket.
Learn
Themed analysis identifies which issues are systemic and which are one-offs. Systemic issues become process changes. This is where the program moves from individual recoveries to structural improvement.
